ATTENDEE TERMS AND CONDITIONS
ArcticCon Events LLC
Effective Date: October 15, 2025
By purchasing a ticket and/or attending any event organized by ArcticCon Events LLC ("ArcticCon," "we," "us," or "our"), you ("Attendee," "you," or "your") agree to be bound by these Attendee Terms and Conditions ("Terms").
1. TICKET PURCHASE AND REGISTRATION
1.1 Registration Requirements
- All attendees must provide accurate and complete registration information
- You must be 18 years or older to register, or have parental/guardian consent if under 18
- Tickets are non-transferable without prior written consent from ArcticCon
- You are responsible for maintaining the confidentiality of your registration credentials
1.2 Payment and Refunds
- All ticket sales are final and non-refundable unless otherwise stated
- ArcticCon reserves the right to cancel or reschedule events, in which case refunds may be issued at our discretion
- No refunds will be issued for no-shows or partial attendance
2. ASSUMPTION OF RISK AND LIABILITY WAIVER
2.1 Assumption of Risk
You acknowledge and agree that:
- Attendance at the event involves certain inherent risks, including but not limited to personal injury, property damage, or exposure to illness
- You are voluntarily participating in the event with full knowledge of these risks
- You are in good health and proper physical condition to attend the event
2.2 Release of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW:
- You hereby RELEASE, WAIVE, and DISCHARGE ArcticCon Events LLC, its officers, directors, employees, agents, vendors, sponsors, and venue partners (collectively, "Released Parties") from ANY AND ALL LIABILITY for injury, death, property damage, or any other loss arising from or related to your attendance at the event
- This release does not apply to claims arising from the gross negligence or willful misconduct of the Released Parties
2.3 Indemnification
You agree to INDEMNIFY, DEFEND, and HOLD HARMLESS the Released Parties from any claims, damages, losses, or expenses (including attorney's fees) arising from:
- Your breach of these Terms
- Your violation of any laws or regulations
- Your conduct at the event
- Any injury or damage caused by you to other persons or property
3. DATA PRIVACY AND MARKETING CONSENT
3.1 Information We Collect
By registering for our event, we collect:
- Contact information (name, email, phone number, address)
- Professional information (company, job title)
- Dietary restrictions and accessibility needs
- Payment information (processed securely through our payment processor)
3.2 How We Use Your Information
We use your information to:
- Process your registration and manage event logistics
- Send event-related communications and updates
- Improve our events and services
- Comply with legal obligations
3.3 Sponsor and Partner Data Sharing
When you consent to sponsor communications, you understand that:
- Shared information includes: name, email, company, and job title
- Each sponsor maintains their own privacy policy and opt-out procedures
- You can request a list of sponsors who will receive your data
- Sponsors may contact you about badge upgrades, workshops, and promotions
3.4 Your Data Rights
You have the right to:
- Access your personal data we hold
- Request correction of inaccurate data
- Request deletion of your data (subject to legal requirements)
- Opt-out of marketing communications at any time
- Contact us at [email protected] with any data-related requests
4. PHOTOGRAPHY AND MEDIA RELEASE
By attending the event, you grant ArcticCon Events and its authorized representatives the right to:
- Photograph, film, and record you during the event
- Use your likeness, image, voice, and appearance in promotional materials
- Distribute such materials through any media channels without compensation
- If you do not wish to be photographed, please inform event staff upon arrival
5. CODE OF CONDUCT
5.1 Expected Behavior
All attendees must:
- Treat all participants with respect and professionalism
- Follow all venue rules and event staff instructions
- Wear event badges at all times in event spaces
- Comply with all applicable laws and regulations
5.2 Prohibited Behavior
The following are strictly prohibited:
- Harassment, discrimination, or intimidation of any kind
- Disruptive, violent, or threatening behavior
- Unauthorized solicitation or distribution of materials
- Possession of weapons or illegal substances
- Violation of intellectual property rights
5.3 Enforcement
ArcticCon reserves the right to remove any attendee who violates this Code of Conduct, without refund.
6. HEALTH AND SAFETY
6.1 Personal Responsibility
You are responsible for:
- Monitoring your own health and not attending if you are ill
- Following all posted safety guidelines and protocols
- Informing staff of any emergencies or safety concerns
6.2 Medical Emergencies
While we may have first aid available, you acknowledge that we are not responsible for providing medical care and recommend you maintain appropriate health insurance.
7. INTELLECTUAL PROPERTY
7.1 Event Content
All presentations, materials, and content provided at the event remain the intellectual property of their respective owners. Recording, reproduction, or distribution without permission is prohibited.
7.2 Attendee Content
Any content you share at the event (presentations, discussions) may be used by ArcticCon for event documentation and promotion, unless otherwise agreed in writing.
8. LIMITATION OF LIABILITY
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- ArcticCon's total liability for any claims arising from the event shall not exceed the amount you paid for your ticket
- We are not liable for any indirect, incidental, special, or consequential damages
- We are not responsible for lost, stolen, or damaged personal property
9. FORCE MAJEURE
ArcticCon shall not be liable for any failure to perform due to circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, labor disputes, or government actions.
10. GENERAL PROVISIONS
10.1 Governing Law
These Terms are governed by the laws of the State of Alaska, without regard to conflict of law principles.
10.2 Dispute Resolution
Any disputes arising from these Terms shall be resolved through binding arbitration in Anchorage, Alaska.
10.3 Severability
If any provision of these Terms is found invalid, the remaining provisions shall continue in full force.
10.4 Modifications
ArcticCon reserves the right to modify these Terms at any time. The version in effect at the time of your registration shall apply.
10.5 Entire Agreement
These Terms constitute the entire agreement between you and ArcticCon regarding event attendance.
